Series 2: Department of Fine Arts , 1896-1940

Department of Fine Arts consists of internal art and artist lists, correspondence, memoranda, notes, and reports. These files were begun under John Beatty's tenure and streamlined under Homer Saint-Gaudens' directorship to track activities directly related to the museum's interoffice affairs. Some of the discontinued files include research on the programming and business activities of other museums, remodeling and furnishing plans for the museum's galleries, and office supplier contact information. File headings retained under Saint-Gaudens focus on art considered and purchased for the permanent collection, employee records, exhibition proposals and loans, Fine Arts Committee minutes, museum programming and publications, press releases, requests for images, and requests for general information.
This series also includes information regarding the various educational programs for children and adults, including lectures, gallery talks, Saturday morning classes, fine art extension classes, guided tours, and outreach to local schools. Additionally, budget estimates, reports on employee tasks and assignments, resume submissions, Museum of Art general planning memoranda, and requests to the Carnegie Institute buildings and grounds department can also be found.
From 1907 to 1940, these files were originally boxed in two year periods, and within that, arranged numerically according to the star (*) filing number assigned by the Museum of Art. Records dating from 1895-1906 were boxed separately. All records have been rearranged into an alphabetical folder heading order with all the years merged and organized into chronological order.

Exhibitions includes correspondence, lists, planning notes, and available catalogs related to 185 traveling and loan exhibitions held at the Museum of Art from 1901 to 1940. Of these, 82 are group, survey, regional, or topical shows and over 100 are one-artist shows. The museum's early interest in American painters are clearly evident under Beatty's directorship, with 22 of 32 shows falling into that category. Under Saint-Gaudens' directorship, the museum continued to showcase American and regional Pennsylvania painters, but also expanded to showcase mural decorators, architecture, crafts, printed books, and sculptures, in addition to exhibitions focused on Mexican, Itlaian, Canadian, German, French, Swedish, Dutch, and Spanish art.
The collaborative work involved in curating and hosting major exhibitions is documented throughout this series, particularly through the extensive exchanges with collectors, museums, galleries, dealers, shippers, and many of the artists themselves. Much of the correspondence centers on the availability or whereabout of works and requests for loans. Information regarding the provenance, ownership, and price, sales, and insurance values of artworks are frequently noted in letters or catalogs.

International is comprised of catalogs, correspondence, art and artist lists, itineraries, jury selection ballots, minutes, notes, and reports related to the planning, logistics, and promotion of the Carnegie International Exhibition from 1895 to 1940. The various changes to the jury selection process, invitation lists, and logistical shipping and handling of artwork is documented in the various form letters and official announcements under both directors' tenure. Under Saint-Gaudens, over time the logistical planning for each exhibition became more formalized, with more time and attention being paid to budgets and the creation of artist invitation lists, loan requests, reception planning, and Fine Arts Committee reports. These documents were originally grouped and filed separately under John Beatty and were more rigorously streamlined under Homer Saint-Gaudens. The handful of folder headings continued under Saint-Gaudens focus on art purchases, artists' invitations, artists' request for information, general exhibition planning, Foreign Advisory Committees, foreign governments, jury reception planning, loan requests, and touring logistics. Additional information regarding artists, critical reception of the exhibition, prizes, press coverage, and preview shows are also filed here.
From 1907 to 1940, these files were originally boxed in two year periods, and within that, arranged numerically according to the star (*) filing number assigned by the Museum of Art. Records dating from 1895-1906 were boxed separately. All records have been rearranged into an alphabetical folder heading order with all the years merged and organized into chronological order. This series has been scanned in its entirety.

Letterpress books consist of 75 volumes that chronologically collect all of the Museum of Art's outgoing correspondence from 1896 to 1917. Volumes 1-8 contain the only copy of outgoing correspondence from 1896 to 1900. Duplicate copies of all outgoing correspondence dating from 1901 to 1917 were interfiled in Correspondence (Series 1) by museum staff. Some of the earlier letterpress volumes include indexes that can be found at either the front or back of each book. In many cases, the copy text of the print in these volumes is faint and difficult to read.
