Borrowing Documents For Exhibition

Q: How do I know if a document is available for loan?
A: If a document is owned by the Archives of American Art, it may be available for loan. Some documents that are owned by AAA may be access restricted and additional permission may be required for exhibition. You can check the status of a document by consulting AAA’s on-line catalog in SIRIS or by contacting the Registrar directly.
Initial approval of a loan is needed by AAA’s Director. In addition, the condition of a document must be appraised by the Registrar before final approval of any loan.
Q: Who may borrow documents from AAA?
A: Any institution wishing to borrow documents from AAA must provide the Registrar with a facilities report for all venues. The report(s) must be approved by the Registrar before final approval of the loan. In addition, the institution must have all risk wall-to-wall insurance coverage for the documents being borrowed.
Q: Under what circumstances may I borrow documents?
A: Original documents may be borrowed for display in an exhibition only. Loan approval does not include photography of the image.
Q: How many documents may I borrow at a time?
A: A qualified institution may borrow up to 10 documents at a time for one exhibition. To request more than 5 documents, please submit a second form. Please talk directly to the Registrar if you have any special requests.
Q: When should I submit a request?
A: While we will make every effort to be flexible, AAA prefers that a request be submitted at least three months prior to the date of an exhibition.
